Who we are
This site, the free calculator and Tourist Tax Keeper are run by Nero Engine Group Ltd, trading as Nero Labs, a company registered in England and Wales (company number 16521432), registered office 66 Paul Street, London, EC2A 4NA. We are registered with the Information Commissioner's Office under number ZB914271. Contact: founder@neroengine.com.
What we collect and why
- The free calculator and Wales check. Your answers and booking details are worked out in your browser and are not sent to us. We only record which area or answer was used (for example "Edinburgh"), so we can see how the tools are used. This is not linked to you.
- Visit statistics. We count page views, the website that sent you here, the country your visit came from (as reported by our hosting provider) and the type of device. We do not use tracking cookies, we do not store your IP address, and we cannot identify you from this.
- Your Tourist Tax Keeper account. Your email address, your business name and your password, which we store only in scrambled form (a "hash") so no one, including us, can read it. We use these to run your account. Our lawful basis is the contract with you.
- Your properties. The name, area and type of each property, whether you are VAT registered, any registration number and date, and any notes you add.
- Your bookings. For each stay: the booking reference, where it came from (for example Airbnb), the date it was booked, check-in and check-out dates, the number of adults and under-18s, the amounts paid for the accommodation and fees, whether it was cancelled or exempt, and the levy we worked out. We never store guest names, or any guest contact details.
- Booking files you upload. Your Airbnb, Booking.com or Vrbo file is read in your own browser. Only the booking fields listed above are sent to us. The file itself, and anything else in it such as guest names, never leaves your device.
- Deadline reminders and the England list. If you ask us to email you before a deadline, or when an English area announces a tourist tax, we keep your email address, the area you picked and when we last emailed you. We use it only to send those reminders (and, for deadline reminders, one short tips email two days after you sign up). Every email has an unsubscribe link, and you can ask us to delete your details at any time. Our lawful basis is your consent. Emails are sent through Resend.
- Purchases. Payments are taken by Stripe. We receive your name, email, billing address and what you bought, but never your full card details. We keep purchase records for 6 years because tax law requires it.
How long we keep it
Your account, properties and bookings are kept until you delete them or delete your account. The law asks hosts to keep levy records for 5 years in Scotland and 6 years in Wales, so we keep them for as long as your account is open and you can download them at any time. When you delete your account, everything in it is deleted. Purchase records are kept for 6 years.
Who we share it with
Only the services that run the site: Cloudflare (hosting, and the database that holds your account, known as Cloudflare D1), Stripe (payments) and Resend (sending reminder emails you asked for). We never sell your data and never share it for advertising.
Where it is stored
With Cloudflare, whose database may be held in the EU or the US, and with Stripe. Where data is processed outside the UK it is covered by the UK's approved safeguards (such as the UK International Data Transfer Addendum).
Your calendar link
Tourist Tax Keeper gives you a private calendar link for your deadline reminders. Anyone with that link can see your deadlines, so keep it to yourself. You can make a new link at any time in the app, which stops the old one working.
Your rights
You can ask to see, correct or delete your data, object to how we use it, or ask us to stop. Email us and we will reply within one month. If you are unhappy, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This site sets no tracking or advertising cookies. Tourist Tax Keeper sets one login cookie, which is needed to keep you signed in. Stripe's checkout pages set their own cookies to process payments and prevent fraud.
